Overview

The Administrative Assistant supports the academic efforts of faculty members in a fast-paced health sciences curriculum.  The successful candidate is expected to be proficient in Microsoft Office applications (Word, Excel, PowerPoint) and in basic web-page management software applied to examination and curriculum preparation.  Prior experience with educational software such as Canvas and IF-AT Exam Testmaker, and ExamSoft is highly desirable.  Broad responsibilities include providing administrative support to the program directors, clinical coordinators, and faculty in the execution of the department’s teaching, service, and scholarly activities and fulfilling department faculty requests from university service departments (Purchasing & Accounting, Information Technology, Human Resources, Facilities, etc.).

 

Other tasks include photocopying, e-mail distributions, scheduling room reservations; recording minutes of monthly department meetings, proctoring student exams, formatting team-based learning assignments through IF-AT Exam Testmaker and assist with the management and entry of student course curriculum in Canvas.

Responsibilities

  • Represents the department by greeting students and visitors, requesting department information or services, directing inquiries to appropriate personnel daily.
  • Participate with student orientation, white coat ceremony, and commencement ceremony events.
  • Prioritizes and executes academic support tasks assigned by faculty including, course curriculum preparations in Canvas, calendar management, preparing and processing course assessments.
  • Fulfills requests from faculty to university service departments (Information Technology (IT), Purchasing, Finance & Accounting, Human Resources (HR), Facilities, etc.)
  • Ensures that all administrative forms and documents are current, correct, and conform to policy.
  • Assists faculty in preparation and delivery of e-mails, announcements, and other correspondence to students, administration, and staff.
  • Properly organizes documents in students’ files
  • Take department meeting minutes.
  • Communicate and coordinate exam schedule for students with special accommodations and proctor their exams/assessments.
  • Arranges logistics for department meetings, projects, and curriculum events through EMS Lite service. Files, photocopies, distributes mail, and scans paperwork as needed.
  • Update and maintain program’s website.
  • Perform other duties assigned.

Qualifications

  •  High school diploma or equivalent certification.
  •        Job-related experience (preferred), demonstrating the knowledge, skills, and duties required of the position.
  •        Ability to type 50 WPM and to operate standard office equipment (desktop computer, printers, photocopiers, fax, scanner, etc.).
  •        Proficiency in the use of Microsoft Office applications (Word, Excel, PowerPoint) and in basic web-page construction and management.
  •        Experience utilizing common communication technologies and services (email (Outlook), including development of list serves, voicemail, phone, and video conferencing. etc.).
  •        Capacity to master the navigation of the university’s web page and academic tools such as Canvas, Banner, and IF-AT Exam Test-Maker.

Maximum Salary

USD $54,000.00/Yr.

Minimum Salary

USD $43,200.00/Yr.
